Admin & Finance Assistant
Maintain and update attendance, leaves, visitors, telephone, dispatch, reception of post mail, Recruitment process, Shortlisting of candidates, entry of documents, maintain marks sheets of committee members, staff lists and miscellaneous records as informed from time to time on daily basis and share with Admin & Finance officer & Director for review. Supervise guards and support staff at field office. Provide assistance to procurement officer in seeking quotation from vendors ( Accommodation/Hotels, Transportations/vehicles ) required in child labour survey in KP. Coordinate and take guidance of logistics officer for vehicle fuel and other records. Maintain up to date all assets (Vehicles, office furniture and Equipment’s) in working condition. Keep and maintain record of stationery and office supplies for inspection. Maintain office premises in neat and clean condition all times with help of local support staff. Maintain Organization vehicles in good condition with regular inspection to avoid any damages/ overhauls. Prepare and submit monthly POL consumption report along with vehicle log books for timely submission for approval . Plan and share Daily, weekly, & Monthly requisition of items (stationary, supplies and equipment’s) and submit to AFO & Director for review. plan arrangements for trainings including venue selection, cost estimation etc., in consultation with Assistant Director. Collect and verify DSA forms from staff members and ensure that all supporting documents are attached and ensure timely submission to Director. Maintain financial record in excel at field office for inspection. Collect and scrutinize all financial documents prior to sending to finance section. Keep himself updated with latest development and security situation and consult security focal point before traveling to field . Maintaining of monthly cash book, stack book, attendance sheet of every month.
